Regulations on Booking of Facilities for Wedding Ceremony

1.
The Ming Cheh Hall (The Chapel) serves as the venue for meetings of the Seminary. Bookings are only available for Saturdays, Sundays and Seminary holidays and should be non-prejudicial to regular Seminary programs and activities. Verbal enquiries are not regarded as formal bookings. The Seminary reserves priority use of all facilities.
2.
All applications are to be made in writing to the Seminary three months before the event. No late applications will be accepted except under special circumstances.
3.
Application is only accepted from baptized Christians, either the bride-to-be or the bridegroom-to-be.
4.
When the application is approved, the Seminary will send the application form, notice of bookings for wedding ceremony and the charge table at the first instance. The application must be duly completed and returned to the Seminary within one week, together with a deposit amounting to 50% of the cost in the form of a payable cheque, and a self-stamped envelope, to be sent to this Seminary (Address: No. 50, To Fung Shan Road, Shatin, N.T., Hong Kong) as confirmation of booking. An additional cheque at the amount of $2000 as guaranty deposit is to be sent to the Seminary one month before the event. Failure to comply with this requirement would render the booking void. The cheque should be made payable to “The Lutheran Theological Seminary”. All deposits are non-refundable on the occasions that the applicants cancel the bookings or change the date of the booking.

The amount of the guaranty deposit is $2,000. The Seminary will deduct all additional charges from the deposit. The balance and the receipt for the additional charges will be sent to the applicants seven days after the wedding ceremony. The deposit will be returned in full on the condition that no additional charges are incurred. In the event that the deposit falls short of the additional charges, the applications are duly bound to settle the deficit as soon as possible. The Seminary reserves the rights to claim compensation from the applicants. The list of additional charges are:
  (a)
clearing of decorations and other miscellaneous items left over after the ceremony - $1,000
  (b)
compensation for damages arising from the use of the Chapel and decorations – cost to be subject to quotations
  (c)
over-time charges at $1,000 per each additional hour. All over-time exceeding 15 minutes will be counted as one hour.
  (d)
Penalty for non-compliance with the regulations on use of facilities of the Seminary - $2,000.

The application form should also include comments as to the fact that the bride-to-be, the bridegroom-to-be, or the witness do not know how to sign when circumstances so arise. Special arrangements are to be made for this purpose.
7.
The applicants are required to state in the application form that the ceremony for the signing of the marriage certificate will be held so that prior arrangement can be made for the ceremonial pastor to administer the ceremony.
  (a)
Applicants intending to hold the ceremony for the signing of the marriage certificate are required to:
    (i) Duly complete application form;
    (ii)
Register with the Marriage Registry three months before the intended marriage (Registration No. for this Seminary with the Marriage Registry: 225);
    (iii)
Applicants are required to submit the Certificate issued by the Marriage Registrar not later than 60 days before the intended marriage for the necessary processing.
   
(Some of the pastors of the Seminary may hold the ceremony in Putonghua but the marrying couple may use Cantonese in the ceremony.)
  (b)
Applicants not intending to hold the ceremony for the signing of the marriage certificate (This Seminary will not arrange any pastor to attend the wedding ceremony under such circumstances.) are required to:
    (i) duly complete the application form;
    (ii)
(ii) the ceremony bulletin should state clearly the following statement: the wedding parties have already registered the marriage with the Hong Kong Marriage Registry on __________________.

Copy of the invitation card and the bulletin of the wedding ceremony are required to be sent to this Seminary for record purpose. Two months before the event.
9.
The Seminary will arrange the rehearsal date and time which will normally be one to two weeks before the ceremony. Applicants are required to reserve their time to attend (Monday to Friday, from 9 am till 4 pm) to attend. (The wedding ceremony itself will not last more than 15 minutes.)
10.
Applicants are required to arrange their own transport. Applicants are strongly against booking of any 29-seater coach due to the narrow width of To Fung Shan Road in order to avoid unnecessary traffic congestion. Limited parking facilities are available at the Seminary.
11.
Applicants should appoint a Coordinator for the Wedding Ceremony (the overall in-charge) who is responsible for liaising with staff of the Seminary prior to booking the Chapel, on the day of the ceremony and after the ceremony.

Notice on Use of Facilities for Wedding Ceremony

1.

Access to any areas of the Seminary other than those on the booking list are strictly prohibited.

If the Black Rainstorm Warning or Typhoon Signal No. 8 is hoisted at 12:30 on the day of the ceremony, the booking will be cancelled automatically.  All guaranty deposits and fees paid will be refunded in full.

3.

All air-conditioning, lightings and audio system are only to be turned on and off and operated by staff of the Seminary.

4.

All furniture at the altar, the pulpit, lector, the piano, and chairs are not to be moved.  Any other items, including Bibles and hymn books are to be returned to the original positions after use.

5.

Regular tuning of the piano in the Chapel is being conducted by special experts.  Applicant is bound to pay for additional tuning service if such tuning service is requested.

6.

Non-clergy personalities are not allowed to step onto the altar.  Any risky postures at the altar and the sacred table for photography are not allowed.

7.

No nailed notices nor adhesive tapes are to be used on the walls inside the areas of the Seminary (e.g. glue, adhesive tapes, etc.) for the posting of papers and photographs.  Applicants are required to following instructions of staff on decorations inside the Chapel.

8.

Hydrogen balloons, non-hydrogen balloons are not allowed to be used as decorations `inside the Chapel.  The throwing of golden powder, shedded paper pieces, feather and use of bottle are strictly prohibited.

9.

Applicants are required to inform and remind the assistants to comply fully with the regulations of this notice.  Failing to comply with the regulations may incur immediate suspension of all related activities by the responsible staff of this Seminary.  The guaranty deposit and all fees will be forfeited.  The Seminary also claims indemnity for all losses and consequences arising out of the above.

10.

Applicants are required to compensate all damages to facilities of the Seminary stemming from their use of the Seminary, in accordance with quotations from authorized contractors.

11.

The Seminary will not provide any storage facilities to applicants for storage of any items to be used for the Wedding Ceremony.  They are responsible for their own arrangements.

12.

Drinking and eating are prohibited inside the Chapel.  Distribution of candies and snacks inside the Chapel are not allowed.

13.

Smoking is banned inside the areas of the Seminary.  Foul language is not allowed in the Seminary.

14.

Applicants should note that the Seminary will not provide refrigerator facilities if they intend to serve food in the tea party of the wedding ceremony.  The heating of food by electricity or fire is not allowed.

15.

On conclusion of the wedding ceremony, applicants are required to restore the Chapel to its original setting and status.  They are required to clear up the decorations, ceremony bulletins and any other items they brought along.  The Seminary will not be responsible for the safe custody of any items left behind after the ceremony.

16.

In the event that the applicants or their guests are accidentally injured or passed away, or when they come across any loss, be it legal or monetary, the applicants are fully responsible for their own liability.  The Seminary would claim full indemnity of such incidents.

Payment Method
1. Please remit to the above address the completed application form and 50% of the charges, together with another check for the $2,000 deposit, at least one month before the scheduled arrival at the Seminary, or else reservations will be automatically cancelled. These funds are all non-refundable, except for the $2,000 deposit, which will be returned in its entirety if no damage to LTS property or extended use charges have occurred.
